When you visit this website
Technical information such as your IP address, browser and device type, and the pages you visit. This comes from our hosting provider’s server logs and, if you allow it, from analytics cookies (see Cookies and analytics).
How we use it
We use your information to:
- provide our service: prepare and submit your customs declaration and NOVA, tell you what is due to HMRC and keep you updated. The legal basis is our contract with you, or the steps you ask us to take before entering into one.
- meet our legal obligations, such as keeping the customs and tax records that HMRC requires.
- answer your enquiries and keep a record of our conversations, which is in our legitimate interests.
- run, secure and improve this website, which is in our legitimate interests, and measure how it is used, which we do only with your consent.
We do not sell your information, and we do not make automated decisions about you that have legal or similarly significant effects.
Our online portal
While we upgrade our systems, new clearances are handled through the online portal at shipmycar.co.uk. ShipMyCar is another trading name of ImportMyVehicle.com Ltd, so your information stays with the same company. The ShipMyCar privacy policy explains how the portal uses it.
Who we share it with
- HMRC and other government bodies, to make your customs declaration and NOVA submission.
- Service providers who help us run our business, such as our website host (Vercel), email provider (Microsoft) and analytics provider (Google). They may only use your information to provide their service to us.
- Professional advisers, courts or authorities, where the law requires it or to protect our legal rights.
International transfers
Some of our service providers store or process information outside the UK, including in the United States. Where they do, we make sure it is protected by UK adequacy regulations, such as the UK–US data bridge, or by approved contractual safeguards.
How long we keep it
- Customs, tax and payment records are kept for as long as the law requires, normally six years.
- Enquiries that don’t lead to a clearance are kept for up to two years.
- Website analytics data is kept for up to 14 months.
Keeping it secure
This website uses encrypted connections (HTTPS), and we limit access to your information to the people who need it to provide our service.
Cookies and analytics
Cookies are small files stored on your device. We use essential cookies where they are needed for the website to work. With your consent, we also use Google Analytics cookies to understand how visitors use the site, such as which pages are visited, so we can improve it. Analytics data is collected in a way that doesn’t identify you directly.
You can withdraw your consent at any time, and you can also block or delete cookies in your browser settings.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to limit how we use your information
- object to us using your information
- ask us to transfer your information to another organisation
- withdraw your consent at any time, where we rely on it
Some rights only apply in certain circumstances. For example, we may need to keep customs records even if you ask us to delete them. To use any of these rights, contact us using the details above. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first, so please contact us before you do.
